Build a handoff document before moving day
List the inventory, destination rooms, contact people and decisions that still need approval. Use photographs or a simple room plan to explain placement. Identify items needing specialist assessment rather than assuming that a premium service label includes every handling method.
Keep private documents and sensitive information separate from the general crew instructions. The movers need useful handling and placement information, not unrestricted access to household records.
Identify high-value items early
Tell JEM about artwork, collections, pianos, safes and other unusual belongings before booking. Provide the relevant dimensions, weight information and access details where available. Ask whether custom packing, crating, third-party work or a survey is needed.
Discuss written protection or separate insurance terms for the actual items and journey. A valuable item is not automatically fully covered because the move has a coordinator, and owner packing may raise separate questions.
Give each person a clear role
Decide who may authorize extra services, approve placement changes and answer questions if the customer is unavailable. The coordinator communicates with the moving team and represents the customer's agreed instructions. The team leader still directs safe crew operations.

Book the actual attendance scope

The coordinator is present on site from beginning to end of the agreed move, checks packing readiness and helps the customer understand the applicable coverage terms. If packing, loading and delivery occur on different days, confirm how those stages are covered before booking. Record the agreed attendance and any scope adjustment instead of assuming unlimited days or additional personnel.
